Conversations inbox
WhatsApp for university admissions, in one shared inbox.
Two-way WhatsApp and Facebook Messenger chats land in a shared inbox that central admissions, graduate and international teams filter to their own queues, next to the emails and SMS you send. Reply inside WhatsApp's 24-hour window, send an approved template once it closes, and let auto-replies or a chatbot take the first message.
- Open Liam's unread chat: 23h 42m left to reply
- Type a reply while the window is open
- Send it from the shared inbox, on his record
- Kwame's session expired: template messages only
- Choose an approved template
- Send template to re-engage him
Built around the channels applicants write on.
Prospective students and their families message on WhatsApp and Messenger, then expect confirmations by email and text. Counselors answer the chats and check what was already sent by email and SMS in tabs of the same inbox.

FAQ
WhatsApp and inbox questions
How does WhatsApp for university admissions work in higheredcrm.ai?
Connect your institution's WhatsApp number and every conversation appears in the shared conversations inbox. A first message from a new contact creates an inquiry, counselors reply from the inbox, and every message is kept on the student's lead record. Templates, media and bulk sends are built in.
Can our university use the official WhatsApp Business Platform?
Yes. Connect your WhatsApp number through the WhatsApp Business Platform, directly or through a supported provider, and pay the provider at its own rates. A provider account you connect stays under your university's own contract. You can also start with built-in channels and free sign-up credits (see pricing for how credits work).
What is an omnichannel inbox for admissions?
It is the shared screen where admissions staff read and answer student messages across channels. In higheredcrm.ai, two-way WhatsApp and Facebook Messenger chats sit in one inbox with filters by team, status and unread, and the emails and SMS your team sends appear in their own tabs. Website chat isn't part of the inbox: its transcripts are saved to the lead's communication log.
Can we send a WhatsApp message to many applicants at once?
Yes. Pick a WhatsApp template and send it to many leads at once, with variables such as first name and program filled in from each lead record. For scheduled or recurring sends with analytics, use a WhatsApp campaign.
Do we need approved templates to message students on WhatsApp?
WhatsApp's business messaging rules generally require a pre-approved template to start a conversation, or to write again after the customer service window has closed. higheredcrm.ai keeps these in a template library alongside your email and SMS templates, and the thread shows how long the current reply window has left.
Can the inbox answer applicants in other time zones outside office hours?
Yes, on WhatsApp and Messenger. An out-of-office reply follows your working hours and time zone, keyword auto-replies (contains, exact match or starts with) answer common questions, and a welcome message greets each new conversation. A flow-based chatbot can take applicants through a menu and hand the chat to your team when they ask for a person.
Can applicants reply to an SMS in higheredcrm.ai?
No. Inbound SMS isn't supported: SMS goes out from higheredcrm.ai, and the SMS tab shows the messages your team sent. Two-way conversations run on WhatsApp and Messenger, which suits international recruitment well. If your US applicants expect two-way texting, factor that into your channel plan.
How do graduate and international teams keep track of open conversations?
Each team filters the inbox by team, status or unread to see what still needs a reply. Messages are also saved to the lead's communication log, with calls in its call log, so a colleague who picks up the thread sees what was said. Anything that needs more work becomes a follow-up with a date and an owner.
