Good to know: duplicates are caught on email and phone at entry (blocked when added by hand, skipped on import, updated from a web form), and there is no tool to merge records that already exist. Bulk reassign sends leads to one counselor or distributes them round robin across the counselors or teams you pick, without showing their current workload; reassigning a single lead shows the counselor’s current load.

Questions about routing, scoring and records

What is lead routing for admissions?

Lead routing decides which counselor or recruiter owns each new inquiry. higheredcrm.ai's assignment engine applies your rules the moment an inquiry is created, so a student who writes from Southeast Asia can go to the recruiter who covers that region while the inquiry is still fresh.

How do we route graduate, undergraduate and international inquiries to different counselors?

Zone rules route by country, state or city, which suits regional international recruiters. Source rules send inquiries from a given source, such as a recruitment fair, to the counselors you choose. For program-level routing, keep the program in a custom field and add a workflow that checks it and assigns a named counselor. Anything no rule matches goes to your fallback strategy, such as round robin or load-balanced.

How does rule-based lead scoring work for an admissions office?

You build a scoring profile from weighted parameters such as stage, source or priority, then add activity rules that add or subtract points, once only or up to a cap. Tiers such as Hot, Warm and Cold are yours to name. Each lead keeps a score history, so an enrollment director can see when and how an applicant's score changed.

Can we capture test scores, prior degrees and other program details?

Yes. Name your lead and application stages, order them with a display number and give each a color and icon. Custom fields cover dropdowns, cascading dropdowns such as country, state and city, field groups for academic background and table fields for repeating rows like test scores. Fields you mark "Encrypt data at rest" are stored with AES-256 encryption and shown masked.

Can student callers or temporary staff work leads without seeing full contact details?

Yes. Turn on "Mask contact details" for their role and they see a partial phone number and email, such as ******0187, while still calling, texting and emailing from the CRM. Masking is enforced on the server, so it carries through to exports and conversations.

Can counselors verify transcripts and record enrollment deposits?

Yes. Each lead has a document locker where staff mark uploads such as transcripts, passports and test reports as verified or pending. Application fees and enrollment deposits are recorded against the lead by your team, and recorded collections appear on the dashboards.

What happens when a counselor is full or leaves mid-cycle?

Capacity limits can be off, soft (a warning) or hard. With hard limits, counselors at capacity are skipped and the strategy picks from the rest of the pool; if everyone is full, new inquiries stay unassigned until a manager assigns them. Removing or deactivating a counselor shows how many active leads they hold, with capacity warnings, before you move them.

What will our registrar or data protection officer want to check?

Each lead has a do-not-contact flag and email, SMS, WhatsApp and call opt-outs, with the date and source of the last change, and each send checks them automatically. Roles decide who sees full contact details, and the per-lead audit history records stage changes, assignments, messages and calls. Your team can review these controls against FERPA, GDPR and your own policies.
