Chatbot: definition and example

A chatbot in higher education is a scripted assistant that greets a visitor on the admissions website, a WhatsApp number or a Facebook page. It handles the questions that reach the office in volume: deadlines for the next entry term, where to send transcripts, whether a program runs online, and which office evaluates transfer credit. Along the way it asks for a name, an email or phone number and the program of interest, so a counselor can follow up.

A flow-based chatbot follows a route your staff lay out in advance, made of messages, option menus, free-text questions and branches, so every reply is approved before a student sees it. That matters when a wrong answer about a deadline, an English-language requirement or financial aid could cost an applicant their place. A generative chatbot composes its answers with a large language model, so any institution considering one needs a review process for accuracy and clear limits on what it may say.

Routing is where a university bot earns its place. An opening menu can separate first-year, transfer, graduate and international visitors, and each branch can ask the questions that office needs before a person takes over. Questions about disability accommodations, appeals or an individual admission decision belong with staff, so the flow should offer a clear exit to a counselor.

Write the flow with the people who own each answer. Start with the questions your office answers most often, ask the registrar, financial aid and international offices to approve the replies in their areas, and review the flow before each admissions cycle so dates, fees and requirements stay current. A short flow that is always right serves students better than a long one that drifts out of date.

Can a chatbot replace an admissions counselor? It shouldn't try. A bot covers evenings, weekends and time zones when the office is closed and collects details consistently; conversations about fit, funding and a student's circumstances still need a person.
